AI marketing workflow templates: start with a brief, not a tool

TL;DR

Four reusable documents for deciding what an AI assistant may do, how to review its output and when to stop.

What makes a workflow repeatable?

An AI workflow needs more than a prompt. It needs a trigger, approved inputs, a bounded task, a reviewer and a stop rule. A template helps when it makes those decisions explicit. It does not make an unreliable process safe by itself.

Template 1: the workflow brief

Write the business outcome, task owner, trigger, approved sources, output format and review responsibility on one page. Add permitted and forbidden actions. For example, an assistant may draft an internal campaign summary but may not update the budget or publish the summary. A narrow boundary makes the test easier to interpret.

Template 2: the instruction contract

Use this structure: task, audience, approved context, output fields, evidence rules and stop conditions. Ask for unsupported claims to be marked unresolved. Tell the assistant not to follow instructions embedded inside source documents. Keep sensitive information out unless the service and use are approved. The reviewer still checks the result.

Template 3: a test log

Create a row for each test case with expected behavior, actual behavior, pass or fail, corrections and total time. Include a normal case, a missing-source case and conflicting inputs. For a missing source, stopping and asking a question may be the correct result. Testing only clean inputs rewards the wrong behavior.

Template 4: the handover and decision memo

Record who runs the process, who reviews it, how to pause it and how to return to the manual path. At the review date, choose keep, revise or stop. Write down the evidence and unresolved uncertainty. A useful handover lets someone other than the original builder operate the workflow.

Measure the whole job

Compare time per accepted output with a manual baseline. Include source preparation, review, corrections and maintenance. As an illustrative calculation, twenty tasks at forty-five minutes each use fifteen hours. If the new process needs twenty-five minutes per accepted output, the apparent monthly saving is about 6.7 hours before setup and maintenance. That is a planning estimate, not a proven return.
